Now Hiring: Project Coordinator (6-Month Contract, With Full-Time Potential)

Location: Hybrid (Bloomington, IN or Durham, NC area preferred) 

Start: October 2025  

Compensation: $3,350-$4,500 per month commensurate with experience 

 

We’re looking for a highly organized, proactive Video/Photo Project Coordinator to help our creative production team run smoother, think ahead, and stay on track. This is a 6-month role with the intention to grow into a full-time position.  

 

You’ll work closely with our Creative Directors, editors, and producers to keep timelines moving, assets organized, and communication flowing across teams and clients. If you’re a natural problem solver who thrives behind the scenes, read on.

 

What You’ll Do:

  • Keep project timelines current and aligned with Creative Directors’ evolving plans

  • Track and update the status of deliverables across tools like Slack, Google Drive, and Forecast

  • Manage draft versions, client send-outs, and internal approvals—keeping everyone in sync

  • Help CDs and editors stay on task with reminders, questions, and subtle nudges

  • Connect team members with the assets they need (files, links, drives, labels, and more)

  • Monitor team capacity and flag upcoming crunches or quiet periods

  • Own and refine our systems for labeling, archiving, and finding shared assets

  • Build and adjust Forecast timelines to help plan future team workload weeks out

  • Manage shoot logistics—including travel booking, schedules, and ground support

  • Track expenses, log costs, and align actuals with project budgets

  • Facilitate weekly project check-ins or team status updates

  • Jump in and problem-solve when something unexpected throws us off course

  • Guide collaboration and alignment with stakeholders and help communicate with the internal production team.

  • Make adjustments or recommend enhancements to systems and processes to solve problems or improve effectiveness

  • Close attention to detail and effectiveness in identifying problems before they arise.

  • Implement tactics to support production.

  • Intermediate knowledge of video/media technology. Supporting team by ensuring the production team has the tools they need

  • Guide change within department through adaptability and flexibility with a focus on continual improvement.

  • Guide the details and production level techniques specific to projects.

  • Sets objectives to meet the objectives or goals of projects and assignments.

  • Communicates effectively within the agency. Has responsibility for communicating with parties external to the organization (e.g., customers, vendors, etc.)

  • Able to lean on industry knowledge and factors that help guide good decision making across the team

  • Able to think critically about the implications of resource usage and budget.

  • Works to build trust and partnerships across the organization to apply video production 

  • standards to requests and projects
